The Society Manager is an employee/appointed officer of the cooperative housing society who works under the instructions of the Managing Committee to carry out day-to-day administration.

Below are the practical roles and responsibilities generally followed in housing societies in Maharashtra.

1. Administrative Management

The Society Manager assists the Managing Committee in smooth administration.

Responsibilities:

  • Implement decisions taken by the Managing Committee and General Body.

  • Maintain office records and society files.

  • Manage correspondence with members and government authorities.

  • Supervise staff such as watchmen, cleaners, and maintenance workers.

  • Handle society office operations.

2. Meeting Management

The Manager helps the Secretary and Committee in organizing meetings.

Responsibilities:

  • Prepare meeting notices, agenda, and documents.

  • Arrange Managing Committee Meetings and General Body Meetings.

  • Maintain minutes records.

  • Follow up on resolutions passed in meetings.

3. Record & Register Maintenance

As per cooperative society rules, societies must maintain statutory records.

The Manager may maintain:

  • Membership register (Form I Register)

  • Share register

  • Nomination register

  • I & J Register (member details)

  • Property register

  • Minutes books

  • Audit records

  • Maintenance billing records

These records are required under the MCS Act and Rules.

4. Accounts & Financial Assistance

The Manager assists in financial administration.

Responsibilities:

  • Preparation of maintenance bills.

  • Collection monitoring.

  • Maintaining cash book and ledgers (with accountant support).

  • Preparing documents for statutory audit.

  • Coordinating with auditors.

(Final responsibility remains with Treasurer/Managing Committee.)

  • Maintaining member records.

7. Maintenance & Facility Management

The Manager supervises society infrastructure.

Responsibilities:

  • Monitoring repairs and maintenance.

  • Coordinating vendors and contractors.

  • Ensuring cleanliness, security, and utilities.

  • Maintaining common facilities.

Important Legal Point

Under the MCS Act 1960, the ultimate authority remains with the Managing Committee.
The Manager only executes administrative work and cannot take policy decisions independently.
